# What Is Call Tracking?

Call tracking is a way to tell which marketing made a customer call you. Each ad, listing, mailer or web page shows its own number, and each one forwards to your main line. The system logs which number was dialed, when, how long the call lasted, often with a recording, so calls can be tied to leads, jobs and revenue.

## Key takeaways

- Each marketing source gets its own forwarding number; calls ring your normal phone.
- Static numbers suit offline sources (trucks, mailers); dynamic number insertion swaps numbers on your website by visitor source.
- Call tracking only pays off when calls are tied to booked jobs and revenue, not just counted.
- Federal law allows recording with one party's consent, but some states require every party's consent. Play a recording notice.
- Keep your main business number consistent on Google Business Profile and directories; change listings carefully.

## How does call tracking work?

You rent extra phone numbers from a call tracking provider and assign one to each marketing source: a number on the truck wrap, one on the spring mailer, one in your Google Ads, one on your website. When someone dials any of them, the call forwards to your normal phone within a second or two. The caller notices nothing. Your call log now shows which number they dialed, so you know where they found you.

Most systems add details on top: caller ID, call length, whether the call was answered, a recording and often a transcript. Some can whisper the source to you before the call connects ('Call from mailer') so you answer with the right offer in mind.

## What types of call tracking numbers are there?

There are two main types of call tracking numbers. Static numbers are fixed to one source, such as a truck, a mailer or a radio ad. Dynamic numbers are swapped onto your website by a script based on how each visitor arrived (Google Ads, organic search, Facebook), so web calls are credited to the right channel.

**Which kind of tracking number to use where**

| Source | Number type | Notes |
| --- | --- | --- |
| Truck wraps, yard signs, mailers, print | Static, one per campaign | Pick a local, easy-to-remember number; it may stay on a truck for years |
| Radio and TV | Static | A vanity or memorable number helps |
| Website visitors | Dynamic number insertion (DNI) | A script swaps the number shown based on source, ad or keyword |
| Google Ads | Google's forwarding numbers or DNI | Ties calls to the click, ad and keyword |
| Google Local Services Ads | Google-provided number | Google tracks these leads in the LSA dashboard |
| Google Business Profile | Main local number, or a tracking number used carefully | Google requires a number under your direct control and prefers local numbers |
| Lead marketplaces and directories | Static per platform, if allowed | Some platforms supply their own numbers |

## What should you track besides the source?

Beyond the source, track whether each call was a new customer, whether it was answered, whether it was bookable, whether it booked, and what the job was worth. Those five fields turn a pile of call data into [booking rate](https://www.brix.so/learn/booking-rate), [cost per lead](https://www.brix.so/learn/cost-per-lead) and revenue by source.

> **Worked example: a plumber's mailer test**
>
> These are illustrative numbers. A plumbing company sends 5,000 postcards for $2,500 with a tracking number on them.
>
> Over six weeks the number receives 38 calls. 12 are repeat customers, 4 are wrong numbers. **22 are new bookable calls**, so the cost per lead is $2,500 ÷ 22 ≈ **$114**.
>
> 15 calls booked. Those jobs brought in $9,750 in revenue. Return on spend = $9,750 ÷ $2,500 = **3.9×**.
>
> Without the tracking number, the owner would only know that 'the phone was a bit busier.' Now the mailer can be compared with every other channel.

## Call tracking by trade

**What call tracking reveals in each trade**

| Trade | Sources worth separate numbers | What to look for in the data |
| --- | --- | --- |
| HVAC | Paid search, LSA, maintenance-plan mailers, trucks | Peak-day missed calls; which source sends replacement leads |
| Plumbing | Emergency ads, website, trucks | After-hours call volume and how many go unanswered |
| Roofing | Storm-season ads, yard signs, mailers, canvass leave-behinds | Calls per yard sign; which neighborhood campaigns produce inspections |
| Electrical | Website, GBP, builder referrals | Call length: short calls are often price shoppers |
| Landscaping and lawn care | Door hangers, signs, spring ads | Which neighborhoods respond, to build route density |
| Cleaning | Marketplaces, website, social ads | Repeat vs. first-time callers by source |
| Pest control | Seasonal ads, website, trucks | Seasonal spikes and one-time vs. plan callers |

## Is it legal to record calls for call tracking?

Recording is legal in many cases, but the rules depend on where the callers are. Federal law (18 U.S.C. § 2511) allows recording when one party to the call consents, and your business is a party. Some states require the consent of everyone on the call. Because callers can be in different states, many businesses play a short notice at the start of every call.

> This is general information, not legal advice. Check your state's recording law, and the law where your callers are, before recording calls. A brief notice such as 'This call may be recorded for quality and training' is a common practice.

## Call tracking vs. call recording vs. call transcription

Call tracking tells you where a call came from. Call recording keeps the audio. [Call transcription](https://www.brix.so/learn/call-transcription) turns the audio into searchable text. Many tools do all three, but they solve different problems: tracking is for marketing decisions, recordings and transcripts are for training, quality and disputes.

## Common call tracking mistakes

- **Swapping the main number on your Google Business Profile and directories without a plan.** Inconsistent numbers across listings confuse customers. Google requires a number you control and prefers local numbers.
- **Counting calls instead of jobs.** Twenty calls from a mailer means little until you know how many booked.
- **Letting tracking numbers lapse.** A number printed on a truck must stay active as long as the truck is on the road.
- **Not separating repeat customers.** Past customers who dial an ad number inflate that ad's results.
- **Never listening.** Recordings are the fastest way to find out why calls aren't booking.

BRIX answers every call, books the job on your calendar and logs the call on the customer's record in its CRM, so you can see which calls became jobs. It can also ask each caller how they heard about you.

## Frequently asked questions

### How does call tracking work?

Each marketing source gets its own phone number that forwards to your main line. When someone calls, the system logs which number they dialed, so you know which ad, listing or mailer produced the call. Most systems also log call length, caller ID and a recording.

### Does call tracking hurt local SEO?

It can cause problems if your business number differs across Google Business Profile and directories. Google requires the number to be under your direct control and prefers local numbers. Many businesses keep their main number consistent on listings and use tracking numbers on ads, mailers and their website.

### What is dynamic number insertion?

Dynamic number insertion (DNI) is a script on your website that shows a different phone number depending on how the visitor arrived, such as from Google Ads, organic search or Facebook. It lets you credit website calls to the right channel.

### Is it legal to record customer calls?

Federal law allows recording with one party's consent, but some states require everyone on the call to consent. Since callers may be in different states, many businesses play a recording notice at the start of each call. Check your state's law; this is not legal advice.

### Do small contractors need call tracking?

If you spend money on more than one marketing channel, yes. Without it, you're guessing which channel makes the phone ring. Even one tracking number on a mailer or truck can tell you whether that spend is working.

### What's the difference between call tracking and lead source tracking?

Call tracking covers phone calls by using separate numbers per source. Lead source tracking is the full practice, covering calls, forms, referrals and walk-ins, and tying each source to booked jobs and revenue.
