# What Is Conversational AI?

Conversational AI is software that understands what people say or type in their own words and replies in natural language, keeping track of the conversation as it goes. It powers website chat, text-message assistants and AI phone agents. Modern systems use large language models, which handle open-ended questions far better than older scripted chatbots.

## Key takeaways

- Conversational AI = understanding (language in) + deciding (what to do) + responding (language out), over several turns.
- It shows up as web chat, SMS assistants, and voice agents on the phone.
- Older chatbots followed scripts; today's systems use large language models and can handle questions nobody scripted.
- That flexibility is also the risk: language models can state wrong things confidently, so limit what they can say and do.
- In the trades, the useful jobs are intake, booking, reminders, follow-up and answering routine questions.

## How does conversational AI work?

Conversational AI works by turning a person's message into something the software can reason about, deciding the best response or action, and replying in plain language. It remembers earlier turns, so "Can you do Thursday instead?" makes sense. Voice systems add speech recognition at the start and a synthetic voice at the end.

**The parts of a conversational AI system**

| Part | What it does | Trades example |
| --- | --- | --- |
| Input | Takes text, or converts speech to text | Caller says "my water heater's leaking" |
| Understanding | Works out the intent and key details | Intent: urgent repair; detail: water heater, leak |
| Context | Remembers what's been said and what it knows about you | Your service area, hours, emergency rules |
| Decision and tools | Picks a reply or an action, like checking the calendar | Marks urgent, pages the on-call tech |
| Output | Writes a reply, or speaks it with text-to-speech | "Our on-call tech will call you within 15 minutes." |

## What's the difference between conversational AI and a chatbot?

A traditional chatbot follows a script of buttons and fixed answers, and breaks when someone types something unexpected. Conversational AI understands free-form language and can respond to questions nobody planned for. Many products still called chatbots now run on conversational AI, so the difference is in how they behave, not the label.

| | Scripted chatbot / IVR | Conversational AI (LLM-based) |
| --- | --- | --- |
| Input | Buttons, keywords, keypad | Normal sentences, typos, slang |
| Handles the unexpected | No | Often, within its instructions |
| Setup | Map every path | Write instructions and connect data |
| Predictability | Very high | Lower; needs guardrails and review |
| Typical failure | "Sorry, I didn't understand" loops | A confident wrong answer |

On the phone, the scripted version is an [IVR](https://www.brix.so/learn/ivr) menu; the conversational version is an [AI voice agent](https://www.brix.so/learn/ai-voice-agent).

## How do trades businesses use conversational AI?

Trades businesses mostly use conversational AI at the front of the job: answering calls, chatting with website visitors, texting leads back, confirming appointments and following up on estimates. These are high-volume conversations with a clear goal, which is where the technology does best.

**Common uses and how well they work**

| Use | Channel | How well it works | Watch out for |
| --- | --- | --- | --- |
| Answering calls and booking | Voice | Well for routine calls | Noise, accents, emergencies needing triage |
| Missed-call text back | SMS | Well | Consent and carrier registration for business texting |
| Website chat for quote requests | Chat | Well | Promising prices it can't back up |
| Estimate and lead follow-up | SMS, email | Well | Message frequency and opt-outs |
| Review requests | SMS, email | Well | Platform review rules |
| Troubleshooting with homeowners | Any | Poorly | Safety and liability; send a tech |
| Handling complaints | Any | Poorly | Needs a person with authority |

**Sample text conversation (illustrative): landscaping quote request**

**Assistant:** Hi, this is Greenway Lawn & Landscape. Sorry we missed your call. What can we help with?

**Customer:** Need a quote for weekly mowing, corner lot on Elm

**Assistant:** Happy to help. What's the street address, and roughly how big is the yard: under a quarter acre, a quarter to a half, or bigger?

**Customer:** 212 Elm. Probably a third of an acre

**Assistant:** Thanks. Someone will walk the property and send a firm quote. Does Wednesday or Thursday work for a quick visit?

## What are the limits and risks of conversational AI?

The main risk is that large language models can produce confident, wrong answers, which NIST's generative AI risk profile calls confabulation. Other limits include misheard speech, weak handling of emotion, and privacy and consent rules for recording calls and sending automated texts. Each one has a practical fix.

- **Wrong answers.** Give it a written list of facts and forbid guessing on prices, warranties or safety.
- **Misheard details.** Have it read back addresses and phone numbers.
- **Emotion.** Route complaints and upset customers to a person.
- **Recording consent.** Several states require all parties to consent to recording; mention it in the greeting.
- **Automated texts and calls.** FCC rules require prior consent for automated or AI-voice calls to cell phones, and marketing messages need prior express written consent.
- **Data.** Ask vendors where transcripts are stored, who can see them, and whether they're used to train models.

## How to start with conversational AI

1. **Pick one conversation.** Start where you lose the most money, usually missed calls or slow lead follow-up.
2. **Write down the facts.** Hours, services, service area, prices you're willing to quote, emergency rules.
3. **Connect your systems.** Calendar and customer records, so it can book and log, not just chat. See [CRM](https://www.brix.so/learn/crm).
4. **Review transcripts weekly.** Fix wrong answers and tighten its instructions.
5. **Expand slowly.** Add follow-up, reminders and review requests once the first job works.

BRIX uses conversational AI to answer calls, text back missed callers and follow up every lead and open estimate, and sets up custom AI automations around how your shop already works.

- [AI receptionist](https://www.brix.so/features/ai-receptionist): Answers every call 24/7, qualifies the caller, books the job and texts back anyone it misses.
- [Missed-call text back](https://www.brix.so/features/missed-call-text-back): Texts a caller back within seconds when a call is missed, so the lead stays with you.
- [Sales automation](https://www.brix.so/features/sales-automation): Follows up every lead and open estimate automatically by text and email, and asks every customer for a review after the job.
- [Custom AI automations](https://www.brix.so/features/ai-automations): Custom AI workflows built and set up for each customer's business.

## Frequently asked questions

### What is an example of conversational AI?

An AI phone agent that answers a plumbing company's calls, asks what's wrong and books a visit is conversational AI. So is a website chat that answers questions in plain language, or an assistant that texts back a missed caller and schedules an estimate.

### Is ChatGPT conversational AI?

Yes. ChatGPT is a general-purpose conversational AI built on large language models. Business tools like AI receptionists use similar models but add your business information, connections to your calendar and records, and rules about what they may say.

### Is conversational AI the same as a chatbot?

Not exactly. Older chatbots followed fixed scripts and buttons. Conversational AI understands free-form language and can handle questions nobody scripted. Many modern chatbots now run on conversational AI, so the terms overlap.

### Is conversational AI safe for customer conversations?

It can be, with guardrails. Limit it to facts you provide, have it read back key details, route complaints and emergencies to people, and review transcripts. Follow consent rules for call recording and automated texts.

### How much does conversational AI cost for a small business?

Ready-made AI phone and chat products for small businesses commonly run from about $29 to $300 a month on published plans checked in October 2026. Custom builds cost more because of setup and integration work.

### Can conversational AI work in Spanish?

Many systems support several languages, including Spanish, and some switch automatically. Accuracy varies by product and accent, so test it with real calls in each language your customers use before relying on it.
