Free Missed Call Text Back Template Generator
By BRIX Editorial Team · Updated
A missed call text back template is a short, prewritten text you send to anyone whose call you couldn't answer. A good one names your business, says you saw the call, and asks one easy question so the caller replies instead of phoning the next company. Keep it under 160 characters so it arrives as one text.
Key takeaways
- Name the business, acknowledge the call, ask one question. That's the whole job of the text.
- Send it within a minute, automatically if you can. A text sent an hour later is just a slow callback.
- Under 160 plain characters it's one SMS. One curly apostrophe or emoji drops the limit to 70.
- Keep it about the caller's request: no coupons, no links to promotions, and stop texting anyone who replies STOP.
4 texts to pick from
On a job
Hi, it's Mike at Sample Plumbing. Sorry I missed your call, I'm on a job right now. What can I help you with?
109 characters · 1 SMS segment (GSM-7, 160 per segment)Asks a trade question
Hi, this is Sample Plumbing. Sorry we missed your call! Is water leaking right now? Reply and we'll get right back to you.
122 characters · 1 SMS segment (GSM-7, 160 per segment)New or existing job
Hey, Mike with Sample Plumbing here. Missed your call, sorry about that. Is this about a new plumbing job or one we're already working on?
138 characters · 1 SMS segment (GSM-7, 160 per segment)After hours
Hi, this is Sample Plumbing. We're closed but saw your call. Reply with what you need and your address and we'll reach out first thing. Hours: Mon-Fri 7am-6pm
158 characters · 1 SMS segment (GSM-7, 160 per segment)
With the default inputs the generator writes, for example: "Hi, it's Mike at Sample Plumbing. Sorry I missed your call, I'm on a job right now. What can I help you with?" That's 109 characters, one SMS. Change the trade and the question changes with it; change the tone and you get a different set of four.
What should a missed-call text say?
A missed-call text should say who you are, that you saw the call, and ask one question the caller can answer in a few words. Everything else is optional. The caller just tried to reach a person, so the text has to read like it came from one.
| Part | Example | Why it matters |
|---|---|---|
| Who you are | "Hi, it's Mike at Sample Plumbing." | The text arrives from a number they may not have saved. Without a name it looks like spam. |
| You saw the call | "Sorry I missed your call, I'm on a job." | One short apology. "On a job" tells them why without sounding like an excuse. |
| One question | "Is water leaking right now?" | A yes/no or one-line question gets a reply. "Let us know how we can help" often doesn't. |
| What happens next (optional) | "We'll reach out first thing." / "Or book here: …" | Useful after hours or if you take online bookings. Skip it when the text is already long. |
How fast should you send it?
Send the text within a minute of the missed call, while the caller is still holding the phone and before they dial the next number on the list. That timing is why most shops automate it: a text you type from the truck after the job lands after they've already booked someone else.
- During the day: automatic, within seconds. Then reply yourself as soon as you're off the ladder.
- After hours: still send it right away, but use the after-hours version so they know when you'll respond. Don't promise a callback tonight unless someone is actually on call.
- Follow-ups: if they don't reply, one follow-up the next business morning is plenty. FCC rules bar telemarketing calls to homes before 8 a.m. and after 9 p.m.; a reply to someone who just called you isn't telemarketing, but the same hours are a sensible limit for any follow-up you send.
If you want to see what slow responses cost in booked jobs, run your numbers in the speed to lead calculator and the missed call revenue calculator. For callers who do stay on the line, the voicemail greeting generator writes the message they hear before the beep.
Do you need permission to text someone who called you?
Texting back someone who just called your business about a job is a reply to their request, which is very different from sending marketing texts to a list. The rules still apply, though. The FCC says autodialed texts to a mobile phone need the owner's prior consent, that commercial texts need written consent, and that for informational texts consent may be oral.
- Keep it informational. The text should be about the call they just made. Coupons, seasonal promotions and "leave us a review" turn it into a marketing message, which raises the consent bar.
- Honor opt-outs. The FCC says consumers may opt out of any robotext "at any time and in any reasonable manner." If someone replies STOP, or "don't text me," stop.
- Register your texting number. US carriers require businesses that send texts from a regular 10-digit number through software to register a brand and campaign (called A2P 10DLC). Your texting provider handles the form; unregistered traffic can be filtered.
- Check your state. Some states add their own telemarketing and texting rules on top of the federal ones.
How long can a missed-call text be?
A single text holds 160 characters if every character is in the standard GSM-7 set, or 70 if even one character isn't. Longer messages get split into segments of 153 or 67 characters and stitched back together on the phone. Keep it to one segment and the caller gets one short, readable text.
Missed-call text examples by trade
The best first question is the one your office would ask first on the phone. It tells the caller you know the work, and the answer tells you whether to call back now or book for tomorrow.
| Trade | First question | Why this question |
|---|---|---|
| Plumbing | Is water leaking right now? | An active leak means a call back now and a reminder to shut off the main. Anything else can be booked. |
| HVAC | Is it heating or cooling, and is it completely down? | Separates a no-heat or no-cool emergency from a tune-up or a noisy unit. |
| Roofing | Is water coming in, or do you need an inspection or quote? | A leak during a storm is a same-day tarp job; a quote request can wait for an inspection slot. |
| Electrical | Is this a repair, or a new install like a panel or EV charger? | Repairs go to the next open slot; panel and EV charger installs need a site visit and a quote. |
| Garage door | Is the door stuck open or stuck closed? | A door stuck closed with a car inside is urgent. Stuck open is a security problem. Both are usually a broken spring or opener. |
| Pest control | What are you seeing, and where? | Mice in the kitchen, wasps by the door and termite swarmers are three different visits and three different prices. |
| Cleaning | Is this a one-time clean, recurring service or a move-out? | Recurring clients are worth more than one-time jobs, and move-outs come with a hard deadline. |
| Lawn care | Is this for weekly mowing or a one-time cleanup? | Weekly mowing is a season-long route stop; a cleanup is a one-time quote. |
| Pressure washing | What needs washing: house, driveway, roof or something else? | Roofs get a soft wash and driveways get a surface cleaner. The answer decides the quote and the equipment. See the pressure washing AI receptionist page for the full intake. |
Which tone should you choose?
- Friendly sounds like the owner texting from the truck. It fits residential service work, where callers are often hiring a person as much as a company.
- Professional fits commercial clients, property managers and larger shops with an office. It asks for the details a dispatcher needs and includes the opt-out line.
- Brief is for owners who reply fast anyway. It gets one question in front of the caller and nothing else.
Common missed-call text mistakes
- No business name. "Sorry we missed you!" from an unknown number reads as spam or a scam.
- Asking them to call back. They just tried that. Ask for a reply by text instead.
- Promising what you can't deliver. "We'll call you in 5 minutes" at 11 p.m. sets up a second disappointment.
- Adding a promotion. A discount code turns a helpful reply into a marketing text and changes the consent rules.
- Going over 160 characters. The message gets split into segments, and a long text is easier to skim past than a short question.
- Never reading the replies. The text only works if someone answers the thread. Route replies to whoever books jobs.
What happens after the caller replies?
Treat the reply like the start of the call you missed: answer their question, get the address, and book the visit or send the quote. If they don't book on the spot, follow up the same day. The estimate follow-up templates and appointment reminder texts cover the next messages in the thread, and the never miss a call guide shows how to cut down on missed calls in the first place.
Frequently asked questions
What should I text a customer after a missed call?
Name your business, apologize once for missing the call and ask one easy question about what they need, such as whether water is leaking or the system is completely down. Keep it under 160 characters and don't add promotions.
How long should a missed-call text be?
Under 160 characters, so it arrives as a single SMS. If the text includes an emoji, a curly apostrophe or another character outside the GSM-7 set, the limit drops to 70 characters per segment, so stick to plain punctuation.
Is it legal to text back a missed call?
Replying to someone who just called your business about a job is generally an informational message, but federal FCC rules and some state laws still apply. Keep the text about their call, leave out marketing, honor any opt-out and register your texting number with your provider. This isn't legal advice.
Should a missed-call text include a link?
Only a booking link, and only if you actually take online bookings. Links to promotions or your homepage make the text look like spam, and links make the message longer. Without a link, a question is the better call to action.
Can I send missed-call texts automatically?
Yes. Most business phone systems and field service apps can send an automatic text when a call is missed, and BRIX's missed-call text back does it within seconds. Automatic is better than manual because the text arrives while the caller is still deciding who to call next.
What should an after-hours missed-call text say?
Say you're closed, that you saw the call and when you'll respond, and ask for the details you need to book: what's wrong and the address. Only promise a callback tonight if someone is really on call.
Does this generator use AI?
No. It fills in tested templates with your business name, trade, first name, hours and booking link, right in your browser. Nothing you type is sent to a server or stored, and the output is the same every time for the same inputs.
